Assistant Property Manager (CRE)

Overview

In this role you support property operations and tenant relations to ensure smooth, professional site management. You collaborate with the management team to maintain records, handle administrative tasks, and assist in lease and budget activities. You drive tenant satisfaction through coordinated services, events, and timely information updates. This position offers hands-on experience in property administration within a professional CRE environment.

Responsibilities
  • Provide full administrative support (phone, typing, filing, reports)
  • Assist in lease administration and keep database current
  • Maintain organized property files (leases/contracts)
  • Prepare and coordinate bid proposals and service contracts
  • Obtain aging reports and follow up on delinquencies
  • Process invoices with proper backup per procedures
  • Coordinate tenant move ins/outs and furniture logistics
  • Oversee maintenance of work order and PO systems
  • Develop and maintain Tenant Service Package (handbooks, anniversaries, newsletters) and keep tenant data up to date
  • Update office procedures in the Operations Manual
  • Ensure COIs for tenants/vendors are current
  • Oversee staff hours, expense reports, and check requests for review
  • Process tenant bill-backs for utilities and after-hours charges
  • Assist with annual budgets and monthly financial reports; assist with on-site bank deposits
  • Lead property inspections with janitorial/landscape providers and other service providers
  • Participate in performance oversight of service contractors
Key requirements
  • At least 1 year of real estate property management or related experience
  • Proficiency in Microsoft Office Suite
  • High school diploma/GED (Bachelor's Degree preferred)
  • Ability to travel between properties and handle varied weather conditions
