Job Title: Office Coordinator

Pay: $23/hour
Work Schedule: Full-time, 8-hour shifts. Standard hours are generally 8:30 AM-5:00 PM, but flexibility is required. Depending on coverage needs, shifts may fall between 8:30 AM and 8:00 PM.

Job Description:
Our client is seeking an organized and compassionate Office Coordinator to support administrative and scheduling functions across multiple behavioral health locations. This role will be responsible for coordinating appointments, assisting patients, verifying insurance information, supporting providers, and helping maintain smooth day-to-day office operations. The ideal candidate is comfortable in a high-volume healthcare setting and can adapt quickly to changing coverage needs.
Key Responsibilities:
- Manage appointment scheduling for psychiatry, therapy, and outpatient behavioral health services.
- Coordinate provider calendars, follow-up appointments, evaluations, cancellations, and rescheduled visits.
- Communicate with patients regarding appointments and administrative questions.
- Confirm insurance eligibility and benefits.
- Provide professional front-desk and receptionist support.
- Maintain accurate electronic records and process documents through DocuSign.
- Use Excel, Outlook, OneDrive, and other Microsoft applications to organize information and track office activities.
- Prepare invoices and assist with following up on outstanding or pending payments.
- Monitor office supply needs and assist with general administrative operations.
- Provide coverage and administrative support across three Chicago locations.
- Open and close offices as needed while following established procedures.
- Work independently and collaboratively while managing multiple priorities.
- Assist with additional projects and administrative duties as assigned.
Qualifications:
- Previous experience in a healthcare office, behavioral health setting, medical reception, or another high-volume administrative environment Required.
- Strong scheduling and appointment coordination experience.
- Prior experience supporting multiple locations is a Required.
- Proficiency with Microsoft Excel and Microsoft Office applications.
- Experience with DocuSign required.
- Excellent communication, organizational, and multitasking skills.
- Strong attention to detail and ability to prioritize competing responsibilities.
- Reliable transportation and ability to travel between multiple Chicago locations.
- Bilingual Spanish/English Required.
- Demonstrated professionalism, empathy, and cultural awareness when working with diverse populations.
Additional Details:
- Position will rotate between locations in the Bronzeville, Chicago Lawn, and Englewood areas.
- Reliable transportation is required; parking is available at the locations.
- Business-casual dress code; clean sneakers are permitted.
- Training will be provided.
- Schedule may change based on staffing, call-offs, PTO, and operational needs.
- The successful candidate must be comfortable working with individuals from a wide variety of cultural and socioeconomic backgrounds.
