Medical Office Coordinator to join our healthcare team. The ideal candidate will be responsible for providing exceptional customer service and administrative support in a medical office setting.
Responsibilities:
- Greet patients and visitors in a professional and friendly manner
- Answer phone calls, schedule appointments, and manage patient inquiries
- Verify insurance information and collect co-payments
- Take primary ownership of procedure scheduling: handle the full process from start to finish, including filling out order forms, compiling required documents, faxing/submitting them, managing related messages/inquiries, and ensuring no steps fall through the cracks
- Actively support patient checkout by printing and providing referrals, procedural packets, doctor information, printed orders (as permitted), and any other needed materials based on provider instructions-helping patients leave fully prepared without delaying clinic flow
- Maintain patient records and confidentiality in compliance with HIPAA regulations
- Assist with medical administrative tasks such as filing, faxing, and scanning documents
- Coordinate with medical staff to ensure efficient patient flow
- Coordinate referrals to other healthcare providers or specialists
Qualifications:- Experience in Medical administrative support or in a similar role
- High school diploma or equivalent
- Experience in medical administrative support required; prior role in a medical office coordinator, procedure scheduler, or referral coordinator capacity strongly preferred
- Previous experience as a medical receptionist or in a similar role preferred
- Knowledge of medical terminology and procedures is a plus
- Excellent communication skills, both verbal and written
- Strong organizational skills with attention to detail
- Ability to multitask and prioritize tasks in a fast-paced environment
- Proficient in using phone systems and basic computer applications
- Proven initiative and ownership mindset-someone who anticipates needs and jumps in to help
- Strong customer service skills with a focus on patient care
