Overview In this role you support property operations to ensure professional tenant relations and efficient administration. You work closely with the property team to manage leases, files, and vendor contracts while coordinating tenant services and communications. You help maintain accurate records, budgets, and service levels to enable smooth property performance. The position offers hands-on experience in a CRE environment with opportunities to influence tenant experience and operational workflows.

Responsibilities- Provide comprehensive administrative support and calendar coordination; manage correspondence and office supplies when a property administrator is unavailable
- Assist lease administration, including abstracting leases and keeping databases current
- Maintain orderly property files, including leases and contracts
- Prepare and coordinate bid proposals and service contracts
- Obtain aging reports and follow up on delinquencies per policy
- Process invoices with back-up documentation following procedures
- Coordinate tenant move-ins/outs and related logistics
- Manage work order and purchase order systems
- Develop and maintain a Tenant Service Package (handbooks, events, newsletters, trainings) and keep tenant data current
- Update Office Procedures Manual under manager guidance
- Ensure Certificates of Insurance for tenants and vendors are current
- Oversee management and maintenance staff hours, expense reports, and check requests
- Process above-standard tenant bill-backs (electrical, after-hours HVAC, etc.) promptly
- Assist with annual budgets and monthly financial reports; handle on-site bank deposits if applicable
- Lead regular property inspections with janitorial/landscape and other service providers
- Participate in performance oversight of service contractors
Key requirements- At least 1 year of real estate property management or related experience
- Proficiency in Microsoft Office Suite
