A national law firm is seeking a detail-oriented and highly organized Legal Records and AI Integration Specialist for its Long Beach office.
This position will assist with the organization, evaluation, and integration of legal and medical records into our AI-powered document management and litigation support systems.
Responsibilities include reviewing and organizing records, preparing documents for AI processing, verifying accuracy and completeness, and assisting with the implementation of AI-based document review procedures.
Prior legal experience is helpful but not required. Strong organizational skills, attention to detail, computer proficiency, and a willingness to learn new technology are essential.
Responsibilities
- Review, organize, classify, and manage legal documents and medical records.
- Prepare, upload, and integrate documents into AI-based software platforms.
- Review AI-generated summaries and extracted information for accuracy and completeness.
- Identify missing records, duplicate documents, and inconsistencies.
- Convert, combine, separate, rename, and organize PDF documents.
- Maintain accurate electronic filing systems and document databases.
- Assist with implementing and improving AI-based document processing workflows.
- Troubleshoot basic document formatting, uploading, and processing issues.
- Maintain strict confidentiality and security of sensitive client and medical information.
Helpful Technology Skills and Experience
Experience with the following technologies and applications is beneficial but not required. Training will be provided as need.
- Microsoft Office: Proficiency with Word, Excel, Outlook, and Microsoft 365.
- PDF Management: Experience with Adobe Acrobat or similar software, including combining, splitting, converting, bookmarking, and organizing PDF files.
- Electronic Document Management: Ability to organize digital files, maintain consistent naming conventions, and work with large volumes of electronic records.
- AI Software: Familiarity with AI applications such as ChatGPT, Microsoft Copilot, or other AI-powered document review and analysis platforms.
- Data Entry and Accuracy: Strong keyboarding skills, attention to detail, and ability to verify information across multiple documents.
- Computer Troubleshooting: Ability to resolve basic software, file compatibility, formatting, and upload issues.
- File Conversion and OCR: Understanding of converting scanned documents into searchable text using optical character recognition (OCR).
- Technology Adaptability: Ability to quickly learn new software programs, AI applications, and electronic document management procedures.
