Senior Administrative AssistantThis position supports the Dean of AHFSHS and Athletic Director. The position serves as the primary point-of-contact for the division/school and provides administrative support to faculty, staff, students, and external contacts.
Responsibilities include:
- Greeting and directing visitors, resolving routine administrative issues, and answering inquiries concerning activities and operations of the division.
- Accepting, screening, and routing telephone calls; maintaining log of inquiries as required.
- Sorting, screening, and distributing incoming and outgoing mail.
- Establishing, maintaining, processing, and updating hard copy and data files, records, certificates, and/or other documents in compliance with record management guidelines.
- Preparing data analysis of division initiatives; providing data reports and disseminating information to relevant parties.
- Assisting with programmatic research and processes Banner reports for academic information.
- Arranging and scheduling meetings and conferences, scheduling interviews and appointments, and performing other duties related to maintaining division and individual schedules; making travel and lodging arrangements, either directly or through travel agencies.
- Overseeing office space and equipment including maintenance; managing facilities requests and work orders for the division.
- Organizing and maintaining inventory of supplies; preparing requisitions and orders, stocks, and distributes office supplies; maintaining/monitoring purchase and budget records.
- Assisting in developing and monitoring the division budget.
- Preparing educational materials, building course schedules, assigning classrooms, posting class schedules, and assisting with student registration/virtual HUB.
- Coordinating classroom assignment/tech details for classes, events, and meetings.
- Assisting with event planning and facilitation for division and institution as requested. Organizing programs, events, meetings or conferences by arranging facilities and caters, issuing information or invitations, publicizing events, and maintaining event budgets.
- Assisting in coordinating and implementing training sessions for the division.
- Overseeing work assignment/schedule for student employee(s).
Required qualifications include knowledge and level of competency commonly associated with the completion of an associate degree in a course of study related to the occupational field, experience sufficient to thoroughly understand the diverse objectives and functions of the subunits in the division/department in order to direct and coordinate work within the division/department, usually interpreted to require three to five years of related experience, and possession of or ability to readily obtain a valid driver's license for the type of vehicle or equipment operated.
