Administrative Program Coordinator - Health Access and Community Enrichment (HACE)

Overview

In this role you support the Health Access and Community Enrichment (HACE) department by handling complex administrative and analytical tasks. You will partner with internal clients and leaders to manage calendars, travel, budgets, and project activities in a fast-paced environment. You will influence department operations through planning, policy support, and cross-functional collaboration. This position offers a meaningful opportunity to contribute to City of Hope's mission by enabling efficient operations and impactful programs.

Responsibilities
  • Provide executive-level administrative support to the Chief HACE Officer, including calendar management, meeting scheduling, travel coordination, and expense tracking
  • Assist in daily administrative functions to maintain an effective department and handle confidential matters with discretion
  • Support budget preparation, account management, purchasing, personnel, facilities, and required reporting
  • Analyze operational policies and resource use to inform short/long-range planning and program development
  • Oversee expenditures within approved limits and monitor budget variances
  • Organize workflow, initiate follow-up actions, and coordinate department policies
  • Support select projects/programs with project management, communications, and materials creation
  • Coordinate department projects/events such as faculty symposiums, research forums, and engagement activities
  • Prepare expense reports/requisitions/check requests in the ERP system
  • Engage with internal and external stakeholders to sustain partnerships and effective operations
Key requirements
  • Bachelor's Degree or equivalent experience
  • 3+ years in business administration, clinical research, or a healthcare setting
  • Experience with budget management and ERP-based financial processes
  • Ability to manage multiple priorities and deadlines in a confidential environment
  • Strong organizational, communication, and stakeholder management skills
  • Proven ability to support executive leadership and cross-functional teams
