Position Summary

The Benefits Coordinator is responsible for supporting the day-to-day administration of Common Sail Investment Group's employee benefits programs. This resource is self-motivated and energized by working amongst a group of thoughtful, smart, fast-paced, and successful colleagues. The Benefits Coordinator is a strong team player with a proactive approach and can take initiative with discretion and judgment, particularly when handling confidential employee and dependent information. Primary responsibilities include benefits enrollment and eligibility processing, carrier and vendor coordination, administration of National Medical Support Notices (NMSNs) and Qualified Medical Child Support Orders (QMCSOs), maintaining accurate records, reporting, and providing responsive support to employees and the Benefits team.

Essential Responsibilities and Duties

  • Aid in supporting the day-to-day administration of Common Sail Investment Group's employee benefit programs.
  • Provide optimal service to the employees by being responsive, timely, and accurate in all communications
  • Professionally handle phone calls and emails to answer benefits questions, resolve issues and escalations, and provide accurate information to employees
  • Process benefits enrollments, changes, and terminations for new hires, qualifying life events, and annual enrollment in the benefits administration system
  • Administer Dependent Verification Services (DVS) and dependent eligibility, including:
    • Communicate documentation requirements and deadlines to employees
    • Respond to employee questions, appeals, and escalations; maintain confidential verification records
  • Administer National Medical Support Notices (NMSNs) and Qualified Medical Child Support Orders (QMCSOs), including:
    • Receive, log, and track notices and orders from state child support agencies and courts
    • Review each notice for completeness and qualification; confirm the employee's employment status, plan eligibility, and available coverage options
    • Complete and return Part A (Employer Response) to the issuing agency and forward Part B to the plan administrator within required federal timeframes
    • Enroll the named child(ren), and the employee where required, in the appropriate plan and coverage tier; coordinate with Payroll on resulting deduction changes, including applicable state withholding limits
    • Communicate enrollment status, coverage effective dates, and plan information to the employee, the custodial parent, and the issuing agency as required
  • Monitor active cases for terminations, leaves, employment changes, and release notices; maintain confidential case files and a compliance log
  • Coordinate with any third-party vendor or contractor supporting NMSN/QMCSO processing to ensure accurate and timely completion
  • Support annual enrollment, including employee communications, system testing, and post-enrollment audits
  • Maintain accurate, confidential benefits records and assist with benefits file audits
  • Partner with members of the Benefits Team, HR, and Payroll to accomplish team projects and process improvements
  • Follow up with carriers, vendors, and employees on any open items to solve issues and provide excellent service
  • Limited travel to various community locations
  • Other duties as assigned

Qualifications and Skills

  • Associate degree in business, human resources, or equivalent work experience; 1-2 years of benefits administration experience preferred
  • Working knowledge of health and welfare benefits (medical, dental, vision, life, disability, HSA) and plan eligibility rules
  • Familiarity with benefits compliance requirements, including ERISA, COBRA, HIPAA, and Section 125 qualifying life events
  • Experience with qualifying life events and dependent eligibility audit processes preferred
  • Familiarity with National Medical Support Notices (NMSNs) and Qualified Medical Child Support Orders (QMCSOs) preferred, or the ability to learn and apply the process quickly
  • Experience with an HRIS or benefits administration platform (ADP experience a plus)
  • Proficiency in MS Office Suite, including Excel
  • Ability to handle sensitive and confidential information, including protected health information and court- or agency-issued documents, with the utmost discretion
  • Demonstrate a high level of attention to detail and timely follow through, including tracking and meeting regulatory deadlines
  • Display a positive attitude and passion for serving our employees
  • Practice attentive and active listening skills
  • Comfortable with ambiguity; can effectively cope with change, shift gears easily, and adapt according to business or client needs
  • Approachable and able to successfully build relationships with all levels of the organization

General Working Conditions

While performing the duties of this job, the employee is required to communicate effectively with others, sit, stand, walk, and use hands to handle keyboard, telephone, paper, files, and other equipment and objects. The employee is occasionally required to reach with hands and arms. This position requires the ability to review detailed documents and read computer screens. The employee will occasionally lift and/or move up to 25 pounds. The work environment requires appropriate interaction with others. The noise level in the work environment is moderate. Occasional travel to different locations may be required.
