Overview

As IP Docket Specialist, you will manage foreign patent and trademark dockets to ensure timely deadlines and accurate records. You'll work with attorneys, paralegals, and staff to support cross-border IP matters and maintain efficient workflows. The role focuses on deadlines, docket integrity, and process improvements within the IP team. This position offers hybrid/remote options across multiple office locations and a clear path to impact client outcomes through meticulous docket management.

Responsibilities
  • Review foreign patent and trademark correspondence to record critical deadlines
  • Maintain docket records using IP docketing software (e.g., CPI)
  • Assign and calculate deadlines for foreign IP matters according to laws and rules
  • Generate weekly docket deadline reports for attorneys and paralegals
  • Manage prosecution, maintenance, renewal, and annuity deadlines for foreign IP
  • Review foreign counsel communications to identify actions and follow-ups
  • Process lateral attorney/client file transfers ensuring docket accuracy
  • Create/update/process documentation and training materials for IP docketing
  • Collaborate with attorneys, paralegals, and foreign associates to streamline workflows
  • Identify and resolve docketing discrepancies to preserve IP records integrity
Key requirements
  • Minimum 5 years of foreign patent and trademark docketing or related IP legal support experience
  • Legal experience in Intellectual Property is required
  • Experience with foreign patent/trademark prosecution, maintenance, renewal, and annuity deadlines
  • Proficiency with IP docketing software (e.g., CPI) and knowledge of foreign IP laws and procedures
  • Experience working with foreign associates and/or international IP counsel preferred
  • Strong organizational and time management skills with ability to manage multiple matters
  • Excellent attention to detail and accuracy with large volumes of data and time-sensitive information
  • Effective written and verbal communication skills for liaising with attorneys, staff, foreign counsel, and external stakeholders
