Overview

As Marketing Events Specialist, you will drive brand awareness and pipeline growth by planning and executing high-value tradeshows, congresses, and meetings. You will collaborate with Marketing, Sales, and Product teams to create impactful events that align with our brand and business goals. You'll own end-to-end logistics, vendor selection, budgeting, and on-site execution while ensuring compliance with FDA guidelines and quality systems. This role offers the chance to shape customer engagement at a pivotal growth stage and work across functions to deliver measurable impact.

Responsibilities
  • Maintain the Congress & Event calendar to align with business needs
  • Lead end-to-end event execution including project plans, vendor selection, venue sourcing, contracts, shipments, registrations, accommodations, and post-event surveys
  • Negotiate with congress societies, vendors, and hotels to meet budget and quality targets
  • Manage lead retrieval on-site and ensure timely import of leads into Salesforce/CRM with attribution tagging
  • Coordinate event materials (booth graphics, one-pagers, digital assets, invitations) to stay on-brand
  • Define and track event metrics (leads, pipeline, cost per lead, attendee engagement) and deliver post-event insights
  • Act as central logistics hub for cross-functional stakeholders (Sales, Marketing, Product)
  • Complete accurate expense reports in line with policy
  • Support Corporate Vision, Mission & Values; adhere to GMP/ISO 13485 and external regulations (FDA)
  • Perform other duties as assigned
Key requirements
  • 2-5 years of experience managing tradeshows or vendor shows, preferably in medical devices or healthcare
  • Proven end-to-end event execution with minimal supervision
  • Hands-on experience with virtual event platforms (e.g., Cvent)
  • Familiarity with lead retrieval tools (e.g., Popl, Blinq, Bizzabo) is a plus
  • Proficiency in Microsoft Office 365; experience with project management tools (Asana, )
  • Working knowledge of Salesforce and marketing automation platforms (HubSpot)
  • Strong project management, negotiation, and collaboration skills
  • Excellent written and verbal communication; ability to travel 40-60%
  • Bachelor in Marketing or related field (minimum education)
