Overview

As an Executive Assistant Business Partner, you will support the VP of FP&A and 1-2 Director-level leaders to keep executives focused on strategic priorities. You will manage complex calendars, plan meetings and events, coordinate travel, and ensure smooth operations with high discretion. Your proactive problem-solving and organizational awareness will help tame chaos in a fast-paced finance environment. This role offers a meaningful chance to shape executive workflows and support key business decisions.

Responsibilities
  • Own and optimize executives' calendars across teams, prioritizing requests and coordinating agendas
  • Plan and coordinate internal/external meetings, offsites, and organization-wide events; manage meeting materials
  • Oversee travel arrangements and itineraries for leaders
  • Provide leadership support with confidentiality, initiative, and sound judgment
  • Develop business acumen to anticipate priorities and plan ahead for recurring tasks
  • Lead or collaborate on special projects (e.g., floor plans, team culture) and improve processes
  • Manage expenses and ensure policy adherence; coordinate with tech support for event tech; maintain org charts and distribution lists
Key requirements
  • Minimum 8 years of executive administrative experience, preferably supporting C-level leaders
  • Ability to handle confidential information with 100% integrity
  • Proven leadership and teaming capability; coach and inspire others
  • Self-starter, independent, ruthless prioritization, and fast task-switching; creative problem solver
  • Anticipatory mindset; ability to plan ahead and identify unforeseen needs

  • Excellent verbal and written communication across all organization levels

  • Strong tech familiarity; expert in Microsoft Office or Google Suite; advanced Outlook calendar management
