Assistant Property Manager (CRE)

Overview

In this role you support the property management team to ensure smooth operations and excellent tenant service. You will handle administrative tasks, lease administration, and coordination activities to keep properties well-managed. You contribute to service quality and timely financial and operational processes, helping maintain strong relationships with tenants and clients. This is an opportunity to impactday-to-day property operations while working within a professional CRE environment.

Responsibilities
  • Provide full administrative support (phone, typing, reports, filing, correspondence distribution)
  • Assist in lease administration, including abstracting leases and updating databases
  • Maintain organized property files (leases, contracts)
  • Prepare and coordinate bid proposals and service contracts
  • Obtain aging reports and follow up on delinquencies per policy
  • Process invoices with proper backup according to procedures
  • Coordinate tenant move-ins/outs and logistics (furniture delivery/pickup)
  • Oversee work order and purchase order systems maintenance
  • Develop and maintain Tenant Service Package (handbooks, newsletters, events, trainings) and keep tenant data current
  • Update operations manual; ensure COIs for tenants/vendors are current
  • Oversee staff hours, expense reports, check requests; ensure timely bill-backs for utilities and after-hours charges
  • Assist in annual budgets and monthly financial reports; assist with bank deposits if on-site
  • Lead regular property inspections with service providers; oversee performance of contractors
Key requirements
  • At least 1 year of real estate property management or related experience
  • Proficiency in Microsoft Office Suite
  • High school diploma/GED required; Bachelor's Degree preferred
  • Strong initiative and urgency in daily duties
  • Excellent communication, organization, and multitasking skills
  • Ability to travel between properties
  • Experience with lease administration and financial processes (invoices, budgets)
