Overview As Administrative Director, you will be the senior administrative leader for the LITP and EFI, guiding operations and staff. You will partner with faculty to advance research initiatives, events, funding opportunities, and donor engagement. You will oversee HR, budget, recruitment, and communications to ensure smooth operations. You will shape strategic plans and operational systems across both institutes, enabling high-impact theoretical physics research.

Responsibilities- Serve as the most senior staff leader for LITP and EFI, aligning administrative goals with faculty Directors
- Oversee daily operations and serve as primary liaison with Division on budget, space, HR, and advancement
- Manage internal/external communications and ensure up-to-date websites
- Supervise HR processes including training, performance reviews, and staff terminations
- Oversee purchasing, reimbursements, travel, and other admin processes
- Coordinate workload planning and cross-training for administrative staff
- Oversee appointment/reappointment, onboarding, offboarding, and visa support for affiliated faculty, visitors, and postdocs
- Direct the administration of scientific programs, events, and donor-facing activities
- Develop SOPs to streamline workflows and plan events, seminars, recruitment, and program development across both institutes
- Streamline admin processes via staff training and collaboration with Dean's office and university partners
- Collaborate with Local Business Center for research program development and grant stewardship
- Provide advanced administrative, operational, and strategic support to Faculty Directors
- Represent Institutes to PSD Dean's office, Advancement, and Leinweber Foundation
- Ensure compliance with university policies and manage issue resolution with central offices
- Manage performance goals, resource allocation, and merit/incentive decisions
- Oversee budget, program operations, evaluation, policy implementation, marketing, fundraising and proposals
- Perform other related work as needed
Key requirements- 7+ years of experience in a related role
- Knowledge of university research environments or similar settings
- Supervisory experience
- Experience supporting research centers, institutes, or complex faculty-led programs
- Excellent communication and organizational skills
