Overview

In this role you support the administrative and business management activities of a Process/Department, ensuring smooth operations and continuity. You'll work closely with cross-functional teams to manage finances, HR processes, and clerical tasks, while upholding policy compliance and operational efficiency. The position offers exposure to budgeting, payroll, and vendor coordination within a healthcare setting. You will influence process improvements and help maintain high standards of accuracy and service.

Responsibilities
  • Accountable property officer duties including capital equipment records and annual inventory
  • Assist in development and monitoring of the Process budget and related variances
  • Reconcile accounts, invoices, journal vouchers, and purchase orders for accurate posting
  • Coordinate accounts receivable and revenue posting; maintain accounting reports
  • Prepare financial, statistical, and annual reports; contribute to comparative analyses
  • Handle travel arrangements and reimbursements following UTMB guidelines
  • Process requisitions for routine, non-routine, and capital purchases per procurement rules
  • Coordinate employee expense reimbursements and HR-related administrative tasks
  • Types of correspondence and documents; maintain databases and spreadsheets; develop current office systems
  • Schedule and organize meetings; manage records retention and filing; liaise with other departments and vendors
  • Provide executive-level administrative support and ensure smooth office operations
  • Coordinate personnel matters with Human Resources and maintain payroll and attendance records
  • Support process improvements, cross-training, and adherence to internal controls
Key requirements
  • Associate's degree or equivalent and 2 years of office-related experience
  • Exceptional attention to detail and accuracy
  • Quick learner; adaptable to new processes and technologies
  • Strong organizational skills; ability to prioritize multiple demands
  • Proactive and resourceful; takes initiative
  • Advanced proficiency in Microsoft Office; familiarity with AI technologies
  • Strong written and verbal communication skills
  • Critical-thinking and problem-solving abilities
  • Healthcare industry and Epic experience preferred
