Overview In this role you support office operations by implementing administrative systems and ensuring compliance with directives across the organization. You act as a principal advisor on administrative matters, coordinating with leaders and cross-functional teams to streamline processes and documentation. You will manage meetings, prepare and review documents, and lead program-wide studies and special projects under federal and DoD guidance. This position offers exposure to key governance activities and integration of management practices across programs.
Responsibilities- design and implement administrative systems, procedures, and policies
- advise organizational unit managers on administrative directives
- coordinate communications with staff and support organizations
- prepare, review, and archive documents; manage staffing and archival services
- analyze practices, forms control, and budgeting needs; recommend and implement changes
- resolve administrative problems through analysis and recommended solutions
- document and communicate cross-functional requirements to management
- research and guide on regulations, policies, directives, and procedures
- comply with higher headquarters directives and monitor compliance
- perform studies and projects across management domains; report requirements
- develop and track intergovernmental documents (MOUs, MOAs, MRAs)
- coordinate meetings/travel/events for leaders; synchronize organizational activities
- facilitate meetings and provide technical support (documents, reports, presentations)
- prepare agendas, briefings, minutes, and calendars
- participate in systems readiness reviews and program reviews; capture actions
- respond to taskers; gather/analyze information; craft strategy and approvals
- quality check organizational documents and coordinate with Public Affairs
- provide subject matter expertise at staff meetings; oversee Integrated Product Teams
- package and present briefings; record actions and generate reports
Key requirements- U.S. Citizenship required due to sensitive customer requirements
- ability to obtain security clearance
- Minimum High School/GED plus 10 years of experience, or associate degree plus 4 years, or bachelor's degree plus 2 years
- Bachelor's degree in an applicable field plus one year of graduate education in the specialized field, or a bachelor's degree in a specialized field plus 3 years of applicable experience, or a bachelor's degree in any field with 5 years of specialized experience
- specialized degree field: Project Management, Business Management/Administration or related field
- 5 cumulative years of work experience in planning, organizing, tracking, and reporting on projects in a program life-cycle management process
- 2 years' experience supporting an MDAP valued > $185 million (ACAT I or II) using DoD 5000 processes
- 3 years or 2 years of experience utilizing Microsoft Office Suite and Adobe Acrobat
