Administrative Practice Coordinator

Overview

In this role you support a designated practice area within Skadden, enabling seamless client service and efficient operations. You will coordinate travel, calendars, and billing workflows while collaborating with partners and firm departments. You'll contribute to business development and marketing efforts, manage high-volume tasks, and help keep practice groups well-organized and compliant. The position blends administrative excellence with cross functional teamwork in a top-tier law firm environment.

Responsibilities
  • Coordinate travel arrangements, including visas and passport materials; manage calendaring and scheduling requests
  • Enter lawyers' time records, process expense reports, and assist with vendor invoices
  • Collaborate with Partners and Client Accounting to ensure accurate client billing
  • Support document management, records retention, and related printing/scanning tasks
  • Manage high-volume, multi-matter calendars and monitor for conflicts; update partner bios and conference agendas
  • Maintain a high-volume partner inbox, flag urgent items, and prepare end-of-day item lists
  • Draft and circulate weekly new matter reports with matter descriptions and teams
  • Route client billing communications to billing team; handle AFAs, invoices, and new matters
  • Prepare engagement letters and new-matter memos; assist with new-business conflicts process
  • Prepare materials for presentations, pitches, and conferences with BD/Marketing
  • Enter BD activities in InterAction and track meetings and activities
  • Assist with charitable donation requests; coordinate with People Strategy for group communications
  • Monitor docket notices and highlight matters of interest; coordinate sponsorships for events
  • Coordinate internal/external meeting logistics with Conference Services; manage client interactions
  • Demonstrate strong interpersonal, written and verbal communication to support relationships
  • Maintain firm resources responsibly and adhere to firm policies
  • Maintain a reliable four-day-per-week in-office presence for administrative support
  • Perform other related duties as assigned
Key requirements
  • Experience in a complex litigation environment or similar skillset
  • Excellent customer service mindset
  • Professional demeanor and ability to read, interpret and follow instructions
  • Strong prioritization and organizational abilities
  • Proficiency with Outlook, Excel (PivotTables, filters, conditional formatting), and PowerPoint; ability to learn new software
  • Strong interpersonal and written/verbal communication; calm and professional demeanor
  • Attention to detail; ability to manage multiple projects with shifting deadlines
  • Ability to handle sensitive matters and work under pressure
  • Team-oriented with ability to work independently
  • Flexibility to adjust hours to meet business needs
  • Notary Public licensed in New York or able to obtain commission within six months
