Tenant Services Coordinator (CRE)

Overview

In this role, you support the Property Management Team to ensure tenants' needs are addressed promptly and professionally. You will handle administrative tasks, lease and contract processes, and vendor coordination to keep properties running smoothly. You'll work closely with cross-functional teams to maintain records, generate reports, and ensure compliance with policies. This position offers a hands-on role in a professional CRE environment with opportunities to improve tenant relationships and operational efficiency.

Responsibilities
  • Provide comprehensive administrative support (phone, reports, filing, correspondence)
  • Schedule meetings and special events; support lease administration activities and insurance data handling
  • Prepare bid proposals, service contracts, and approved invoices; assist in bidding and policy compliance
  • Code and process invoices; maintain contract and insurance documentation in administration software
  • Track contracts and insurance certificates; maintain follow-up for expirations
  • Monitor property maintenance work orders and prepare monthly status reports for the Property Manager
  • Maintain lease and contract files and related office records
  • Foster positive tenant/client relationships and track service calls
  • Assist with monthly/quarterly management reports and annual budget preparation
  • Manage staff hours, tenant bill-backs, expense reports, utility readings, and check requests for approval
  • Ensure office supplies are stocked and office operations run smoothly
  • Maintain property purchase order system and follow-up processes
  • Support general office operations and regional adaptations as needed
Key requirements
  • High school diploma/GED (Bachelor preferred)
  • Customer service experience preferred
  • Proficiency in Microsoft Office Suite
  • Ability to interface with decision makers and handle confidential information
