Overview

In this role you support the Property Management Team with administrative excellence to ensure timely handling of tenant requests and property operations. You will collaborate with cross-functional colleagues to manage lease and contract processes, reporting, and office operations, enabling smooth, compliant property management. You'll work in a professional setting focused on tenant satisfaction, accuracy, and efficient administration. This is a growth-minded position in a leading CRE firm with a strong emphasis on service quality and organizational effectiveness.

Responsibilities
  • Provide comprehensive administrative support (phone, reports, filing, distribution)
  • Coordinate meetings and events; assist in lease administration and insurance data handling
  • Prepare bid proposals, service contracts, and invoices; assist in bidding and policy compliance
  • Code and review invoices for approvals; maintain office supplies and contract files
  • Track contracts and certs of insurance; maintain follow-up for expirations
  • Monitor maintenance work orders; prepare monthly status reports for Property Manager
  • Manage purchase order system; support monthly/quarterly management reports and budget preparation
  • Process staff hours, tenant bill-backs, expense reports, meter readings, and check requests
  • Maintain confidential information; foster positive tenant/client relationships
Key requirements
  • Some commercial real estate background
  • Customer service experience preferred
  • Proficiency in Microsoft Office Suite
  • Ability to interface with decision makers professionally
  • Strong organizational and communication skills
  • High school diploma/GED; Bachelor degree preferred
  • Ability to handle multiple tasks and maintain confidentiality
