Overview In this role you support property operations and tenant relations within a CRE team, ensuring professional service and accurate administration. You work cross-functionally to maintain leases, records, and service contracts, helping manage budgets and tenant programs. You will handle administrative tasks, move/occupancy logistics, and monitor service providers to sustain property standards. Responsibilities- Provide full administrative support (phone, typing, reports, filing, correspondence) and coordinate office supplies in the absence of a property administrator
- Assist in lease administration including abstracting leases and database upkeep
- Maintain orderly property files (leases, contracts)
- Prepare and coordinate bid proposals and service contracts
- Obtain aging reports and follow up on delinquencies
- Process invoices with proper back-up according to procedures
- Coordinate tenant move-ins/outs and furniture logistics
- Oversee work order and purchase order systems maintenance
- Develop and maintain a Tenant Service Package (handbooks, anniversaries, events, newsletters, trainings) and keep tenant data up to date
- Update Office Procedures Manual under manager direction
- Ensure COIs for tenants/vendors are current
- Oversee staff hours, expense reports, and check requests for review/approval
- Process above-standard tenant bill-backs promptly
- Assist in annual budgets and monthly financial reports; assist with on-site bank deposits
- Lead regular property inspections with janitorial/landscape/providers and other contractors
- Support performance oversight of service contractors
Key requirements- At least 1 year of real estate property management or related experience
- Proficiency in Microsoft Office Suite
- Strong initiative and sense of urgency in daily duties
- High school diploma/GED required; bachelor's degree preferred (as noted)
