Overview

In this HR Operations Specialist role, you own and improve Lightspeed's HR systems and processes to scale with the company. You'll manage data integrity, lifecycle activities, and compliance while building clear SOPs and repeatable workflows. You will partner with teams to streamline onboarding, offboarding, and reporting, using AI to boost efficiency. This is a hands-on, owner-driven position at our Austin HQ with tangible impact on people operations and company growth.

Responsibilities
  • Own HR systems and data integrity across HRIS and ATS; ensure systems of record are accurate and trustworthy
  • Administer the employee lifecycle including onboarding logistics, account/equipment setup, and offboarding documentation
  • Maintain compliance records: I-9/E-Verify, labor law postings, policy acknowledgments, audits, and EEO/ACA support
  • Manage benefits and leave logistics: enrollments, life-event changes, vendor invoicing, and leave documentation
  • Develop and document HR processes: SOPs and repeatable workflows for onboarding, offboarding, leave, and systems maintenance
  • Support recruiting operations: job postings, interview scheduling, offers, background checks, and ATS pipeline cleanliness
  • Produce HR reporting: recurring headcount, turnover, and compliance dashboards for leadership
  • Leverage AI tools to draft communications, summarize data, and create templates to speed up admin work
Key requirements
  • 3-5 years in HR administration/operations with strong systems ownership
  • Proven track record of building and strengthening HR systems and processes
  • Strong HRIS/ATS experience with data integrity focus
  • Attention to detail and documentation-first mindset
  • Knowledge of I-9, FMLA/leave basics, and recordkeeping
  • Self-starter with fast, independent learning and problem-solving
  • Curiosity about AI and ability to use tools like Claude/ChatGPT, Copilot for efficiency
