Max Craft Renovations is seeking a detail-oriented Project Manager Assistant to support residential construction projects from pre-construction through closeout. This role focuses on estimating, material procurement, project scheduling, and administrative coordination in Buildertrend. You'll work under the supervision of the Project Manager, helping keep budgets, selections, materials, inspections, and project records organized and on schedule.

What you'll do

Estimating and project costs

• Review architectural plans and scopes of work at project handoff.
• Complete quantity takeoffs and prepare detailed, line-item estimates.
• Request, organize, and compare quotes from vendors and subcontractors.
• Prepare budget updates, estimate revisions, and purchase order proposals in Buildertrend for Project Manager review and approval.
• Compare initial estimates and revised budgets with vendor and subcontractor proposals.
• Prepare weekly or biweekly reports of upcoming project expenses for the accounting team.

Materials, selections, and purchasing

• Source and coordinate orders for construction materials, such as framing packages, drywall, insulation, siding, hardware, and waterproofing materials.
• Place and manage material orders under the Project Manager's review and approval.
• Verify finish schedules with the design team, including plumbing fixtures, tile, lighting, cabinet hardware, and appliances.
• Coordinate client selection orders and track lead times so materials arrive before the relevant trade work.
• Track order confirmations and backorders, coordinate order adjustments, and follow up on vendor refund credits.

Scheduling and project administration

• Create and maintain project schedules, milestones, task lists, and client documentation in Buildertrend.
• Schedule municipal inspections, including rough-in, structural, plumbing, electrical, HVAC, and final inspections.
• Review daily tasks and maintain project logs in Buildertrend to track progress against the schedule.
• Coordinate with municipal departments to track inspection results, permit sign-offs, and Certificate of Occupancy documentation under Project Manager supervision.

Closeout and warranty documentation

• Collect and organize appliance, fixture, and equipment manuals, specification sheets, and warranty documents.
• Assemble the project warranty package in Buildertrend and coordinate its delivery to the client.

Qualifications

• Experience in residential construction, construction estimating, project coordination, or a related role.
• Ability to read construction plans and scopes of work and complete accurate quantity takeoffs.
• Strong organization, follow-through, and attention to detail.
• Comfortable comparing estimates, budgets, and vendor or subcontractor quotes.
• Clear communication skills when coordinating with project managers, vendors, subcontractors, design staff, clients, and municipal departments.
• Proficiency with common computer tools, including spreadsheets and project documentation systems.
• Buildertrend experience is preferred.

What success looks like

You keep estimates and project information accurate, identify material and scheduling needs early, follow up consistently, and help Project Managers maintain organized records from pre-construction through client closeout.
