Executive Assistant - Wealth Management, Financial Planning (RIA)
Support the founding partner of this small established firm in Lone Tree. You will take over from an executive assistant who is preparing for retirement (has been here most of her career).
Rapidly growing wealth management, tax, and estate planning firm where clients receive coordinated advice rather than disconnected products. SEC-registered investment adviser serving individuals, families, and businesses with investment management, financial planning, insurance, tax preparation and strategy, and estate and legacy planning.
This is a high-trust role at the center of a rapidly growing boutique advisory practice. You will protect the owners time, keep sensitive client and firm information confidential, prepare polished materials, and serve as a calm, professional point of contact for clients, advisors, attorneys, CPAs, custodians, and vendors.
The role
You will protect the owners time, keep sensitive client and firm information confidential, prepare polished materials, and serve as a calm, professional point of contact for clients, advisors, attorneys, CPAs, custodians, and vendors.
You will also own the systems that keep the owners office running: calendar management, email workflows, file structure, task tracking, meeting preparation, and follow-up. Strong technology skills are required both to do the work yourself and to put practical tools in place that the owner will use. You will help create structures, simplify workflows, and keep meetings, files, follow-ups, and deadlines easy to manage.
The right person is welcoming, client friendly, discreet, proactive, tech savvy, and highly organized. You anticipate what is needed before you are asked, keep work moving in a deadline-driven environment, and represent the growing firm with polish.
Key responsibilities
Own a complex calendar: client meetings, prospect conversations, internal huddles, tax and planning deadlines, and external appointments.
Resolve conflicts early and protect focus time around markets, client reviews, and filing deadlines.
Prepare daily briefs: who, why, materials needed, and follow-up from the last conversation.
Coordinate domestic travel, itineraries, and ground transportation.
Own the owners personal and professional organization systems, including calendar management, email workflows, file structure, task tracking, meeting preparation, and follow-up processes.
Design, implement, and maintain simple, reliable systems the owner will actually use.
Evaluate, recommend, and roll out productivity tools as needed
Use AI tools to draft, summarize, organize information, and reduce administrative friction.
Train and support the owner on the tools and processes you put in place, so organization does not depend on memory.
Document reusable processes, so work is consistent and transferable.
Client and stakeholder communication
Screen calls, emails, and visitors; prioritize what needs the owners attention.
Draft and proof correspondence that sounds like the firm: clear, professional, and warm.
Serve as a liaison to internal team members, clients, centers of influence, custodians, insurers, and vendors.
Deliver consistent, high-touch service to high-net-worth clients and professional partners.
Documents, meetings, and records
Draft, format, and proofread presentations, agendas, memos, and meeting materials (Word, Excel, PowerPoint).
Assemble packets for client reviews, planning meetings, and tax-season work.
Take notes, capture action items, and follow through until items are closed.
Organize physical and digital files so nothing sits in a pile, and everything is easy to find.
Maintain confidential client, contract, and firm records in line with privacy, cybersecurity, and retention standards.
Maintain components of compliance.
Operations and projects
Support office operations: supplies, vendors, meeting logistics, and client events or dinners.
Assist with special projects (process improvements, system rollouts, event planning, transition from the retiring assistant).
Handle other duties that keep the owners office and the firm running well.
