Job description

Key Responsibilities - Record and maintain accurate financial transactions in accounting systems. - Manage daily bookkeeping activities, including income, expenses, purchases, payments, and deposits. - Maintain general ledger accounts and ensure transactions are properly categorized. - Process accounts payable, including reviewing invoices, obtaining approvals, and scheduling payments. - Manage accounts receivable, including preparing invoices, recording customer payments, and following up on outstanding balances. - Reconcile bank, credit card, and other financial accounts regularly. - Investigate and correct discrepancies or errors in financial records. - Prepare and maintain accurate financial statements, reports, and account summaries. - Assist with monthly, quarterly, and year-end closing procedures. - Monitor cash flow and maintain accurate records of incoming and outgoing funds. - Prepare and process checks, electronic payments, deposits, and other financial transactions. - Maintain vendor and customer account records. - Track outstanding invoices, payments, credits, and balances. - Assist with payroll processing and maintain payroll-related records when required. - Prepare documentation and financial information for accountants, auditors, tax professionals, and management. - Maintain organized electronic and physical financial records. - Ensure financial records comply with company policies and applicable accounting procedures. - Maintain confidentiality of financial, customer, employee, and business information. - Assist with budgeting, forecasting, and financial analysis as requested. - Research and resolve billing, payment, and account discrepancies. - Prepare reports and provide financial information to management when requested. - Monitor expenses and identify unusual or incorrect transactions. - Support tax preparation by organizing financial records and required documentation. - Stay current with company accounting procedures and relevant financial requirements. - Perform other accounting and administrative duties as assigned. Accounting Software and Technical Skills - QuickBooks or other accounting software. - Microsoft Excel, including spreadsheets, formulas, sorting, filtering, and basic financial functions. - Microsoft Word and Outlook. - Accounts payable and accounts receivable systems. - General ledger and financial reporting systems. - Electronic payment and invoicing platforms. - Data entry and financial record management. Required Skills and Qualifications - High school diploma or equivalent required; accounting, finance, or business education preferred. - Previous bookkeeping, accounting, or financial administrative experience preferred. - Knowledge of basic accounting principles and bookkeeping procedures. - Strong attention to detail and numerical accuracy. - Excellent organizational and time-management skills. - Strong analytical and problem-solving abilities. - Ability to identify and correct financial discrepancies. - Proficiency with accounting software and Microsoft Excel. - Strong communication and interpersonal skills. - Ability to handle confidential financial information responsibly. - Ability to meet deadlines and manage multiple financial tasks. - Strong integrity, reliability, and professional judgment. - Ability to work independently and collaboratively with management, vendors, customers, and accounting professionals.
