Overview As Financial Documentation & Administration Lead, you will drive financial governance across capital projects by preparing and reviewing SOWs, managing end-to-end PO processing, and coordinating capital expense submissions. You will serve as the lead for RCE submissions within PSMAD, ensuring executive alignment and timely approvals, while maintaining project status and compliance in Clarity/Smartsheet. You will oversee monthly journal entries, accruals, and reconciliations, translating financial data into actionable insights for management. This role sits at the crossroads of finance and project delivery, shaping controls, reporting, and timely decision-making to support project outcomes.
Responsibilities- Prepare, review, and administer Statements of Work (SOWs) aligned with project objectives and budgets
- Oversee end-to-end Purchase Order (PO) processing, including vendor setups and banking information resolution
- Lead RCE submissions across PSMAD, coordinating executive reviews and approvals
- Maintain project status and compliance updates in Clarity/Smartsheet for active capital projects
- Facilitate depreciation requests, capital project closures, and vendor contract change processing
- Perform monthly journal entry calculations and processing for APS
- Oversee accrual management and reconciliation across multiple PSMAD cost centers
- Conduct regular financial reconciliations and resolve invoicing/payments issues
- Aggregate and report monthly accruals information for management review
- Use SAP for data extraction, analysis, and reporting of project financials
- Monitor KPIs and visualize financial performance via dashboards and reports
- Coordinate monthly capital meetings and support long-range planning, budgeting, and CIP tracking
Key requirements- 7 years of experience
