Onboarding Coordinator

Job description

Overview

In this role you will manage onboarding for new hires across the US and LATAM, ensuring accurate, compliant processes and a smooth experience. You will collaborate with HR teams and vendors to optimize workflows, support new employees and managers, and implement improvements. This position sits in the Global Centralized HR Support Center and supports a fast-paced, regional scope with a strong focus on policy adherence and process efficiency. You help shape a scalable onboarding program within a global Hitachi framework.

Responsibilities
  • Oversee and execute complex HR onboarding transactions with accuracy and compliance (pre-employment docs, system updates, employment verification)
  • Manage onboarding workflows aligned with regional labor laws and company policies
  • Handle onboarding inquiries for the US and LATAM regions
  • Ensure compliance with US and LATAM labor laws and company policies
  • Collaborate with internal HR teams and external vendors on background checks, benefits registration, and orientation
  • Act as SME on onboarding best practices and drive process improvements
  • Provide guidance to hiring managers and HR partners on onboarding procedures
  • Contribute to onboarding materials, communications, and tools across regions
  • Periodically review and update onboarding practices to meet evolving business needs
  • Collaborate with the HR Shared Services team to drive process improvements across the employee lifecycle
Key requirements
  • Bachelor's degree in HR, Business Administration, or related field
  • 2+ years in HR onboarding or shared services
  • Knowledge of Form I-9 requirements and processes
  • Experience with HRIS (Workday, SAP SuccessFactors) and ServiceNow
  • Strong customer service focus and ability to resolve complex issues while maintaining a positive experience
  • Strong organizational and multitasking skills with shifting priorities
  • Excellent communication and relationship-building across diverse teams and regions
  • Attention to detail with handling sensitive information and maintaining confidentiality
  • Ability to work independently and in a virtual team setting
