Overview As Staff Payroll Tax Processor, you are the tax expert driving end-to-end payroll tax issue resolution across notices, corrections, and amendments. You'll lead complex cases, mentor less experienced staff, and push process improvements to raise team capability. You will own intake, root-cause analysis, and agency responses for state and federal notices, while ensuring accurate amended filings across multiple states. This role supports cross-functional collaboration to deliver compliant, timely resolutions and knowledge transfer to the team. Responsibilities- Resolve the most complex state and federal payroll tax notices across multi-quarter/multi-state scenarios, leading the full case lifecycle
- Prepare and file amended Federal and State payroll tax returns (Form 941-X and state equivalents) across 10+ states end-to-end
- Diagnose and fix payroll tax errors spanning multiple periods/jurisdictions and drive correction workflows to closure
- Maintain high productivity with accurate correction requests and proactive barrier resolution
- Coach and support Senior Payroll Tax Processors via real-time assistance and structured coaching sessions
- Develop and maintain SOPs and KB articles; identify recurring error patterns and drive corrective actions
- Identify trends in compliance issues and coordinate with stakeholders to implement resolutions
- Collaborate with Corrections, Amendments, Pay & File, and Tax Notice teams to resolve interconnected issues end-to-end
Key requirements- 4+ years in payroll tax with focus on tax defect resolution for notices, amendments, and error correction across multiple states
- Expert knowledge of state and federal payroll tax notices; ability to draft penalty abatement requests and agency responses with documentation
- Experience preparing/amending Federal (941-X, W-2c) and State returns; familiarity with complex local requirements (e.g., PA, OH)
- Deep knowledge of federal payroll tax law (FICA, FUTA, FITW, deposits, penalties)
- Multi-state payroll tax expertise (reciprocal agreements, resident vs nonresident taxation, SUI, local tax compliance)
- Experience as a lead/SME with coaching or training junior staff
- Advanced Excel for reconciliation and audit trails; strong written communication for SOPs/KBs
- Associate's or Bachelor's in Accounting/Finance/Business preferred; equivalent experience accepted
- CPP preferred; EA differentiator; FPC accepted with 5+ years in tax defect resolution
- Experience in payroll service bureau/PEO or multi-client payroll tax operations preferred
