Sr Admin Spec Client Onboard

Overview

In this role you will own client onboarding and maintenance, focusing on collecting master data, translating contracts into setup requirements, and ensuring smooth invoicing and billing reconciliation. You act as the SME for client requirements, coordinating with Onboarding, Operations, and Sales to resolve placement and contract-related challenges. You will liaison across Client, Field/Vertical Sales, Client Services and Operations to guide setup, issue resolution, and escalation. You'll also help design SOPs and train teams to improve the client experience and onboarding efficiency.

Responsibilities
  • Review and interpret client contracts to confirm invoicing, discounts, rebates, and reporting requirements
  • Collaborate with Field/Vertical Sales and Operations to capture missing client requirements and document in CMDR
  • Validate requirements with clients to ensure alignment with capabilities and direct clients appropriately
  • Maintain high data accuracy under tight deadlines for upcoming starts
  • Follow up with clients and field offices to confirm satisfaction and first-invoice accuracy
  • Monitor changes to customer and placement setup to ensure invoices meet specifications; escalate as needed
  • Assist with PO administration/tracking
  • Serve as administrator for online third-party systems
  • Provide guidance for rebooks/adjustments and update client SOPs per contracts
  • Create/update PS FS client defaults, addresses, and billing contacts for all Flex/Perm clients
  • Develop end-to-end processing documentation to support client experience
  • Educate and train Time Entry and Billing teams on invoicing/reporting requirements; assist with invoicing and collections as needed
  • Partner with Field/Vertical Sales and Operations on new requirements, work week updates, COI guidance, vendor forms, and Vax tracking for new/existing clients
  • Strengthen client relationships through issue resolution, process overviews, and participation in client strategy planning
Key requirements
  • 5 years of related experience or equivalent
  • Billing and/or Operations experience required
  • Associate degree preferred
  • Proficient in MS Office (Word, Excel, Outlook)
  • Experience with PeopleSoft and/or Recruitmax/TRM
  • Strong communication and interpersonal skills
  • Ability to work independently, multi-task, and meet deadlines
