POSITION SUMMARY: Handle various administrative and fiscal tasks for the Willows Administration building.
ESSENTIAL JOB FUNCTIONS: The list that follows is not intended as a comprehensive list, but rather to provide a representative summary of the major duties and responsibilities. Incumbent(s) will be required to perform a variety of duties listed, including but not limited to:
- Greet visitors and route them to the appropriate personnel, maintaining confidentiality and security.
- Answer telephone calls and route calls to appropriate personnel.
- Maintain excellent customer service when interacting with visitors and employees.
- Arrange for supplies for meetings, setup meeting supplies, and handle clean up after meetings.
- Arrange for site-wide staff appreciation events, obtain supplies, handle clean up after events.
- Ensure daily processing of mail and deliveries to include receiving logs, pick up and distribution of inter-office mail, U.S. Postal mail, express mail, and supply deliveries.
- Maintain highest level of controls and ethics especially in handling cash receipts and disbursements.
- Work closely with the Fiscal and Administrative staff on the administrative components of NVIH and assist with special projects and activities.
- Coordinate the in-house checkout for all GSA vehicles. Maintain security for all keys and fuel cards.
- Coordinate the handling of the monthly fuel logs and submit monthly report to the CFO.
- Plan for coverage at all times when away from the office running errands or on PTO. Maintain excellent dependability.
- Coordinate with Purchasing to ensure proper delivery, and documentation for all supplies received at the building.
- Perform other administrative activities from time-to-time in the absence of the Accounts Payable.
- Other duties as assigned.

REQUIRED QUALIFICATIONS
The following knowledge, skills, and abilities are required for an employee to successfully perform their duties.
- One (1) year of receptionist and/or customer service experience preferred.
- High School graduate or equivalent, GED.
- Demonstrate effective written and verbal communication skills.
- Effective interpersonal skills in maintaining effective work relationships.
- Commitment to maintain confidentiality as it relates to patients, vendors, and co-workers.
- Sensitivity to those with different life styles and to the Native American culture.
- Willingness to continue to learn and to attend trainings as needed.
- Valid California driver's license and proof of personal liability vehicle insurance as required by California state law.
- Current CPR card. (CPR Training may be provided by NVIH upon hire).
