We are seeking a part-time Front Desk Receptionist to join our team, Monday through Friday, from 12:30 p.m. to 5:30 p.m. The Front Desk Receptionist serves as the first point of contact for visitors, residents, Sisters, associates, employees, vendors, and callers to the Sisters of Divine Providence. This position is responsible for providing a welcoming, professional, and compassionate presence while helping to ensure the safety, security, and smooth daily operation of the reception area.

The Receptionist performs front desk, communication, visitor management, and clerical support duties while maintaining confidentiality and supporting the mission and values of the Congregation.

Essential Duties and Responsibilities

  • Greet visitors, residents, Sisters, staff, associates, and vendors in a courteous and welcoming manner.
  • Answer, screen, and direct incoming telephone calls appropriately.
  • Take and relay messages accurately and promptly.
  • Provide general information regarding the organization and services, as appropriate.
  • Monitor and manage access to the facility in accordance with visitor screening and security procedures.
  • Communicate with visitors through the speaker/intercom system prior to allowing entry, when appropriate.
  • Verify appointments and notify appropriate staff, departments, or Sisters of visitor arrivals.
  • Maintain visitor sign-in procedures and issue visitor passes as needed.
  • Receive, sort, and distribute mail, packages, and deliveries.
  • Coordinate with departments regarding delivery personnel and service providers.
  • Monitor reception email and other routine communications as assigned.
  • Respond appropriately to emergencies, security concerns, or other situations requiring immediate attention and notify the appropriate personnel.
  • Maintain accurate and timely records related to reception and visitor activities.
  • Ensure the reception desk is appropriately covered at all times.

Other Duties

  • Maintain awareness of facility security and report unusual activity or security concerns promptly.
  • Keep reception and lobby areas organized, clean, and welcoming.
  • Maintain confidentiality of resident, employee, and organizational information.
  • Provide clerical and administrative support as assigned.
  • Maintain inventory and supplies related to reception operations.
  • Assist with orientation and training of new reception staff, as assigned.
  • Perform other job-related duties as assigned.
