About the Role

The Receptionist is often the first point of contact for patients and visitors, helping create a welcoming, organized, and professional experience from arrival through check-out. This role supports patient check-in, phone coverage, and day-to-day front-office workflows at the assigned VIS clinic or procedure center.

Key Responsibilities
  • Greet patients, visitors, vendors, and team members in a warm and professional manner.
  • Check in and check out patients, verify demographics and insurance information, and collect required paperwork and signatures.
  • Answer incoming calls, route messages appropriately, and provide helpful information to callers.
  • Schedule, confirm, and reschedule patient appointments as directed, and send appointment reminders.
  • Collect co-pays and outstanding balances at the time of service, following clinic cash-handling procedures.
  • Maintain a clean, organized, and welcoming lobby, front desk area, and guest restroom presentation.
  • Monitor front office supplies and notify the appropriate team member when items need to be ordered.
  • Support patient service initiatives and day-to-day administrative workflows as directed by the Front Desk Coordinator or Clinic Supervisor.
  • Maintain patient confidentiality and comply with HIPAA standards and VIS policies at all times.
Qualifications
  • High school diploma or equivalent required.
  • Customer-facing experience in a medical office, healthcare setting, or professional office environment preferred.
  • Comfort answering multi-line phones, greeting visitors, and managing competing front desk priorities.
  • Experience with scheduling, registration, or electronic medical record systems preferred.
  • Strong communication skills, attention to detail, and a patient-centered approach.
  • Ability to maintain professionalism, discretion, and confidentiality in a healthcare environment.
What We Offer
  • Competitive compensation commensurate with experience.
  • Employer-sponsored health, dental, and vision benefits.
  • Paid time off and paid holidays.
  • Continuing education and licensure-renewal support, where applicable.
  • A stable, physician-owned practice that invests in its team and provides a collaborative work environment.
Work Environment and Schedule
  • Work is performed primarily in a professional outpatient healthcare office and procedure center environment.
  • This role involves frequent interaction with patients, visitors, providers, vendors, and team members in person and by phone.
  • The position requires regular use of office equipment, including computers, phones, printers, scanners, and electronic medical record or scheduling systems.
  • The role may involve exposure to standard healthcare office conditions and requires adherence to infection control, privacy, and safety policies.
  • Schedule is generally during regular business hours, with flexibility needed to support patient care schedules, clinic operations, and occasional changes in workflow.
  • Regular, reliable attendance and punctuality are essential to support front desk coverage and patient service needs.
Physical Requirements
  • Ability to sit or stand for extended periods while performing front desk and administrative duties.
  • Ability to use a computer, keyboard, mouse, telephone, and other standard office equipment throughout the workday.
  • Ability to communicate clearly in person, by phone, and in writing with patients, visitors, and team members.
  • Ability to occasionally lift, carry, push, or pull office supplies or materials typically weighing up to 20 pounds.
  • Ability to move throughout the office or procedure center as needed to assist patients, coordinate workflow, or access supplies and equipment.
  • Ability to perform duties that require visual attention to detail, including reviewing patient information, schedules, documents, and computer screens.
  • Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the role.
