Overview

In this role you will support the Corporate Affairs Legal Department by handling matter setup, intake, and document routing to ensure accurate records and timely operations. You will work with internal legal teams across multiple practice areas and coordinate with external systems to maintain compliant processes. The position is hybrid and onsite in Lake Forest, reporting to the Manager, Paralegal Litigation. You help drive efficient legal workflows and follow standard work instructions while protecting confidentiality.

Responsibilities
  • Manage matter setup and updates in CounselLink and related systems to support records, status tracking, and invoicing
  • Review incoming legal requests via CSC and Legal Inbox, route to appropriate practice groups, and follow up with stakeholders
  • Coordinate document routing, signatures, filing forms, and matter-related documentation across practice areas
  • Review invoices against matter information and billing rules, escalating discrepancies for attorney review
  • Maintain confidentiality of matters and communications per procedures
  • Support continuous improvement of legal operations by identifying gaps and coordinating process updates
Key requirements
  • Bachelor's Degree
  • 3+ years in legal operations, paralegal work, matter management, legal intake, or related processes
  • Knowledge of legal department operations, confidentiality, and matter management workflows
  • Experience using legal systems and intake channels to support practice groups
  • Experience organizing and updating matter information, invoices, and related records with accuracy
  • Ability to coordinate requests with attorneys, internal partners, and external channels
  • Certified Paralegal Upon Hire
