Overview In this role you will provide comprehensive administrative support to the senior leadership team and help manage on-site operations. You will coordinate calendars and travel, handle confidential information, and support employee experience events and All Hands meetings. You'll partner with leadership to anticipate needs and implement proactive solutions while ensuring smooth office logistics in a fast-paced environment. This is a hands-on, cross-functional position that blends executive support with facility coordination and event support.
Responsibilities- Manage calendars and scheduling across multiple time zones, prioritizing internal and external meetings
- Coordinate executive travel, lodging, transportation, itineraries, and related expense reporting
- Handle sensitive information with discretion and professionalism
- Act as an administrative partner to leadership, anticipating needs and delivering proactive solutions
- Support facility needs including office supplies, shipping/receiving, and visitor registration
- Plan and support onsite activities such as employee experience events and All Hands meetings
- Serve as a primary point of contact for office-related requests and inquiries
Key requirements- 5+ years of experience as an Executive Administrator or similar role supporting senior leadership
- Strong organizational, time management, and multitasking abilities
- Problem-solving skills with attention to detail
- Professional demeanor and ability to handle confidential information with discretion
- Excellent written and verbal communication skills
- Ability to work independently in a fast-paced environment
- Proficiency with standard office tools (calendar systems, email, travel booking tools, expense reporting systems)
- Experience supporting multiple leaders simultaneously (a plus)
