Overview

In this entry-level role you support the Labor Relations team to keep union interactions, case records, and meetings running smoothly. You will handle scheduling, documentation, and confidential communications within a large unionized hospital system. This position offers exposure to grievances, negotiations support, and data reporting, contributing to fair and compliant labor relations. You will work closely with cross-functional staff to enable efficient labor processes and timely resolution of issues.

Responsibilities
  • Serve as first point of contact for the Labor Relations office (phones, inquiries, directing visitors)
  • Schedule grievance hearings, labor-management meetings, and arbitration sessions; organize logistics and prepare materials
  • Maintain organized electronic and paper filing systems for contracts, grievances, and labor documents
  • Assist in tracking grievance and disciplinary actions under staff guidance
  • Prepare routine correspondence, meeting notes, and reports; update tracking spreadsheets and calendars
  • Track employee and corporate compliance complaints; document follow-ups and investigation outcomes
  • Support in preparing negotiation packets and maintain document confidentiality
  • Coordinate messenger and mail services for time-sensitive materials
  • Perform general office duties (photocopying, scanning, data entry, inventory)
  • Assist with investigation of employee issues; familiarize with collective bargaining agreements and provide direction as needed
  • Collect and manipulate data to generate reports; contribute to year-end labor relations projects
  • Occasional travel between hospital campuses may be required
Key requirements
  • 1-2 years of clerical or office support experience
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook)
  • Experience with HR or case management systems preferred
  • Strong organizational and communication skills with attention to detail
  • Ability to handle confidential information professionally
  • Ability to manage multiple priorities in a fast-paced, team-oriented environment
  • Experience in hospital or unionized setting is a plus
