Overview

In this role you support the facility management team to ensure high-quality service delivery for client facilities. You'll handle inquiries, coordinate maintenance with contractors, and monitor work orders to keep buildings running smoothly. You will work closely with clients, landlords, and vendors to provide timely updates and issue-resolution. This position offers hands-on exposure to building systems, vendor management, and facility operations in a client-focused environment.

Responsibilities
  • Provide general facility management services and monitor building operations
  • Address client inquiries and ensure timely service delivery and issue resolution
  • Follow up with clients to ensure satisfaction and communicate status
  • Coordinate with outside contractors for service and repairs
  • Maintain knowledge of operational aspects of building systems
  • Create, assign, and track work orders to engineering staff, subcontractors, and vendors
  • Review invoices, bids, and proposals; ensure correct pricing and timely payments
  • Monitor vendor performance and train vendors on work-order and billing procedures
  • Manage complex work orders (environmental issues, disaster recovery) and ensure timely completion
  • Document communications between all parties and provide status updates to client and vendors
  • Schedule and document maintenance and repairs on building equipment
  • Provide facilities helpdesk services and monitor workflow for consistent service quality
  • Measure and report KPIs against service level agreements
  • Support special events for the client and coordinate related activities
  • Assist in onboarding new associates with process and procedures training
  • Maintain professional communication with client, landlords, and vendors
Key requirements
  • Minimum 1 year of experience in administrative, accounting, or tenant services roles
  • Experience with data entry, reporting, filing, answering phones, scheduling, and communications
  • Previous customer service experience
  • Prior experience in facilities/property management, commercial real estate, or professional services preferred
  • Working knowledge of lease terms, CAM reconciliation, insurance, and real estate taxes
  • Proficiency with computer software and base building systems
  • Microsoft Office Suite proficiency (Word, Excel, PowerPoint)
  • Demonstrated good judgment and interpersonal skills
  • Ability to work flexible hours, including holidays, overnight travel, and after-hours/on-call as needed
  • Understanding of contract language and management agreements
