Responsibilities- Serve as senior SME for document control systems, processes, and standards across the organization
- Provide guidance and mentoring to Document Controllers and project teams
- Act as system administrator/power user for the enterprise Document Control System (config, permissions, workflows, troubleshooting)
- Support system rollout, enhancements, and adoption strategies
- Oversee intake, processing, storage, and archival of documents to ensure compliance
- Review submittals for completeness and compliance prior to DMS entry
- Support audit readiness through complete, traceable documentation
- Develop and maintain SOPs, process maps, and user guides
- Monitor performance metrics and dashboards; maintain risk logs and issue trackers
- Coordinate with IT, procurement, and compliance to support DCS needs
- Provide training and onboarding for document control users
- Support change management and continuous improvement initiatives
- Prepare leadership summaries and briefings on performance and adoption
- Act as primary contact for document control with internal and external stakeholders
Key requirements- BA/BS + 6 years of relevant experience or equivalent
- Experience supporting or administering an enterprise-wide Document Control System as administrator or SME
- Experience on at least two large infrastructure/public-sector projects
- Strong knowledge of document management systems, standards, and compliance
- Proficiency with Microsoft Office, SharePoint, Adobe Acrobat
- Strong organizational, analytical, and communication skills
- Experience developing SOPs, workflows, and training materials
- Ability to work independently and with multidisciplinary teams
- Professional certification in document/records management (e.g., CDIA+, CRM) or equivalent
- Familiarity with audits, regulatory compliance, and retention requirements
