Overview In this role you provide essential administrative support to faculty to enable effective teaching and research. You are the primary contact for administrative matters and coordinate day-to-day activities, with a strong in-person presence. You'll support teaching, research portfolios, events, and onboarding, while potentially leading a small team of Faculty Assistants. This position sits at the intersection of academic operations and lab administration within the Harvard Faculty of Arts and Sciences, offering impact through streamlined processes and cross-team collaboration.

Responsibilities- Manage calendars, travel, expenses for up to 10 faculty
- Prepare correspondence, reports, and meeting materials
- Provide primary administrative support for faculty activities (events, visitors, purchasing)
- Route requests to functional partners and act as liaison with shared service centers
- Support teaching and research portfolios and faculty events
- Lead a small group of Faculty Assistants in a player-coach model (when applicable)
- Provide administrative support to all lab members
- Assist with purchasing and vendor coordination
- Support proposal preparation and grant documentation
- Support lab onboarding and orientation
- Handle general administrative coverage such as reception and event support
Key requirements- 5+ years of administrative or customer service experience
- Bachelor's degree preferred
- Strong organizational and time management skills
- Ability to manage multiple priorities with accuracy
- Professional written and verbal communication
- Discretion and sound judgment
- Ability to work independently and escalate issues appropriately
- Stakeholder coordination
- Ability to support multiple faculty with a customer-service orientation
- Familiarity with higher education, research administration, or academic operations preferred
- Ability to handle confidential information with discretion
- Ability to work across teams and with diverse projects
- Strong Word, Excel, and PowerPoint skills
- Experience with Canvas and Concur a plus
- Completion of internal financial, procurement, or research compliance training
