Assistant Training Manager

Overview

In this role you support a major Bay Area rail project in Oakland by delivering high-quality training documentation and coordinating training activities. You will work with the Training Manager and a multidisciplinary team to ensure compliant, effective training for safe transit operations. You'll manage documentation, meeting coordination, and print materials while adapting to shift schedules and client requirements. This position offers a hands-on, impact-focused opportunity to shape training outcomes on a high-profile infrastructure program.

Responsibilities
  • Support planning and delivery of day-to-day training activities on the project
  • Maintain training rosters, attendance records, and client submissions
  • Coordinate with SMEs, clients, and internal stakeholders to gather information for documentation
  • Review client comments on documents, defend positions, and negotiate revisions
  • Manage comment resolution, tracking, and formal closure of issues
  • Produce documentation meeting formatting, style, and quality guidelines
  • Attend meetings and take accurate minutes
  • Oversee print production workflow and materials management
  • Record training sessions using camera/AV equipment and support on-site across shifts
  • Provide feedback to Training Manager for continuous improvement
  • Assist with administration to ensure on-time submission of documents per contract requirements
  • Travel to Oakland and Bay Area facilities as needed
Key requirements
  • 3+ years in technical writing, training coordination, or related rail/transit environment
  • Ability to read and interpret engineering design documents and cutsheets
  • Strong technical writing portfolio or samples of manuals/training materials
  • Proficiency with Microsoft Word, Excel, PowerPoint, Outlook
  • Experience with document management systems
  • Experience recording professional training sessions is a plus
  • Excellent verbal and written communication skills
  • Highly organized with ability to manage multiple workstreams under deadlines
  • Ability to take accurate meeting minutes and distribute them promptly
  • Willingness to obtain SSI clearance; valid driver's license or passport
  • Willingness to work across day, swing, and night shifts
  • Travel to Bay Area sites as required
