Overview

In this role you support Global HR Operations and Centers of Excellence, handling talent acquisition coordination and basic Workday transactions while delivering general HR administrative support. You work to keep interview, onboarding, and HR communications running smoothly, liaising with HR partners and stakeholders. You will follow established procedures and escalate issues to the appropriate owner, helping ensure accurate records and timely HR processes. This position offers exposure to cross-functional HR activities within a collaborative, evolving center of excellence.

Responsibilities
  • Coordinate interview scheduling, candidate communications, travel, and materials in partnership with the TA Partner
  • Manage post-offer onboarding logistics, new-hire communications, orientation schedules, and training support
  • Perform basic Workday data entry and document uploads per procedures; escalate data issues to HRIS
  • Provide shared admin support for employee letters, meetings, events, and HR communications using approved templates
  • Monitor HR inboxes and request channels; categorize, route, and follow up per service standards and confidentiality
  • Route documents via DocuSign, track signatures, and file completed documents in the system
  • Prepare and post HR announcements and onboarding/anniversary materials; manage distribution lists with content owners
  • Coordinate HR meetings, events, and training logistics including rooms, meals, and attendance lists
  • Process and track HR invoices using approved procedures and coordinate with Finance or vendors
  • Maintain confidential HR records and templates; support audits and routine administrative tasks while avoiding policy interpretations or payroll changes
Key requirements
  • High school diploma or equivalent
  • 2+ years in administrative, coordination, or HR-support roles (preferred)
  • Experience with HRIS and applicant-tracking systems; Workday strongly preferred
  • Proficiency with Outlook, Teams, Excel, Word, PowerPoint; SharePoint/OneMeridian, DocuSign experience preferred
  • Experience coordinating meetings, logistics, and confidential records
  • High accuracy, strong data-entry, and attention to detail
  • Strong organizational and multi-tasking abilities with time-sensitive deadlines
  • Professional communication with candidates, employees, managers, vendors, and HR partners
  • Ability to follow documented procedures and escalate appropriately
