Overview

In this role you will serve as the senior administrative and financial officer for the Aeronautics and Astronautics department, providing strategic leadership across administration, finance, HR, payroll, and research administration. You will develop budgets, monitor expenditures, and ensure compliance with Institute and sponsor requirements to support the department head and associate department head. You will identify operational challenges and implement improvements while coordinating space planning and faculty relations. This position offers the opportunity to shape processes and governance in a high-impact, research-driven engineering department at MIT.

Responsibilities
  • lead departmental administration, finance, personnel, payroll, research administration, and operations
  • develop budgets, projections, and reports; monitor expenditures
  • ensure compliance with Institute and sponsor requirements for proposals and budgets
  • supervise HR, payroll, finance, and operations staff; ensure policy compliance
  • administer faculty appointments, leaves, and appointment changes
  • identify operational challenges and implement process, staffing, and workflow improvements
  • prepare financial, personnel, and statistical reports for planning, accreditation, and budget requests
  • participate in space planning; manage faculty/staff relations and confidentiality
  • perform other duties as assigned
Key requirements
  • Bachelor's degree
  • at least seven years in administration, preferably in higher education
  • significant experience in financial management, research administration, and personnel management
  • demonstrated leadership, team building, consensus-building, supervisory, recruitment, performance management, training, and professional development
  • good judgment, diplomacy, tact, and discretion with sensitive matters
  • excellent problem-solving, goal-setting, decision-making, analytical, organizational, project management, and communication skills
  • ability to manage changing priorities, pressure, multiple tasks, and deadlines
  • proficiency with MS Office, Google applications, Excel, and MIT software (SAP, COEUS, Parley)
