Overview

In this role you coordinate complex interview schedules across time zones for executive and senior hires while partnering with recruiters, hiring managers, HR, and candidates to ensure a smooth experience. You act as the primary candidate contact, manage documentation and background checks, and maintain accurate records in Workday. You will support reporting and Talent Acquisition projects, contributing to a high-touch, professional recruitment process. This onsite role at Proofpoint emphasizes confidentiality, precision, and strong stakeholder engagement to help attract top talent.

Responsibilities
  • Coordinate complex interview schedules for executive and senior-level hires across multiple time zones
  • Partner with recruiters, hiring managers, Executive Assistants, HR teams, and candidates to ensure a seamless recruitment experience
  • Serve as the primary point of contact for candidates throughout the hiring process
  • Prepare and coordinate offer letters, employment agreements, and new hire documentation
  • Manage background screening processes, including initiating checks and liaising with vendors
  • Maintain accurate candidate records and recruitment data in Workday
  • Support recruitment reporting, process improvements, and Talent Acquisition projects
Key requirements
  • Experience in Recruiting Coordination, Talent Acquisition Operations, HR Administration, or similar role
  • Ability to manage complex scheduling and deliver results in a fast-paced, customer-focused environment
  • Strong organizational skills with high attention to detail and accuracy
  • Excellent written and verbal communication, including engagement with senior stakeholders
  • Ability to manage multiple priorities, work with urgency, and adapt to changing business needs
  • Exceptional problem-solving and stakeholder management skills
  • Proficiency with Workday, Microsoft Outlook, and Microsoft Office Suite
  • Discretion and high professionalism; ability to work independently and in a team
