Project Coordinator & Document Controller

Overview

In this permanent role, you will support the delivery of building technology and engineering projects in a fast-paced environment. You will manage documentation, maintain compliance, and back project execution from start to finish. You will collaborate with project managers, engineers, clients, and suppliers to ensure accurate records and smooth information flow. Responsibilities
  • Manage project documentation per company and client requirements
  • Maintain document control processes: registration, revision tracking, distribution, archiving
  • Ensure version control, document registers, and compliant procedures
  • Coordinate document submissions among project teams, clients, subcontractors, and suppliers
  • Prepare handover documentation (O&M manuals, project dossiers)
  • Maintain document management platforms (SharePoint, Aconex, TeamBinder, or similar)
  • Support tracking of deliverables, milestones, and schedules
  • Coordinate document reviews, approvals, and stakeholder feedback
  • Manage vendor documentation and follow up on submissions
  • Assist with project reporting, KPI tracking, and records accuracy
  • Contribute to continuous improvement for efficiency and compliance
Key requirements
  • Proven experience in Document Control, Project Administration, or Project Coordination in engineering, construction, building services, industrial, OEM, or EPC environments
  • Strong knowledge of documentation principles, revision management, and transmittal processes
  • Experience with document management systems (Aconex, SharePoint, TeamBinder, Procore, or equivalent)
  • Ability to manage large volumes of technical documentation with high accuracy
  • Strong Microsoft Excel and MS Office skills
  • Excellent organisational, communication, and stakeholder engagement skills
  • Proactive, solutions-focused with ability to manage competing priorities in deadline-driven settings
