Overview In diesem role you will manage day-to-day operations for shared lab spaces and facilities within the Department of Pediatrics, supporting faculty, researchers, staff, and volunteers. You will coordinate cross-functional activities with building management, vendors, and HR to keep spaces compliant, secure, and well supplied. You'll drive procurement, space inventory, and safety processes while acting as a liaison for laboratory operations. This position offers impact at the intersection of administration, facilities, and research support.
Responsibilities- Act as resource/project manager for department facilities initiatives
- Represent the department on facilities-related projects and committees
- Provide faculty support for group activities and events
- Maintain and update space inventory; organize team meetings
- Coordinate with facilities, vendors, and external contacts on floor maintenance
- Liaise with building management and manage facilities work orders
- Ensure compliance with federal/state requirements and internal lab safety policies
- Manage shared lab purchasing and reconcile purchase orders with individual labs
- Coordinate vendor outreach for shipments, returns, and issues
- Facilitate equipment procurement, receiving, installation, and repairs
- Assist with Emergency Action Plan and MTA interactions with consultants or outside labs
- Serve as equipment custodian and point of contact for maintenance contracts
- Conduct regular rounds to inspect for safety, fire, and building code compliance
- Collaborate with Division Administrators on HR tasks and new-hire paperwork
- Oversee purchase orders for shared lab materials and services, negotiate pricing
- Process reimbursements for faculty; assist with Asset Custodian duties
- Provide administrative support to the Vice Chair of Lab Research
- Coordinate training and planning for faculty and lab occupants
- Provide training on procurement and campus systems
- Perform other duties as assigned
Key requirements- Bachelor's degree or equivalent experience
- Minimum 3 years of related experience
- Strong interpersonal and written/verbal communication skills
- Experience with administrative operations including event planning, fundraising basics, risk management, website design, accounting/payroll, contracts and grants regulations
