Overview

In this role you will oversee project documentation and filing systems to ensure compliant, efficient control of confidential information. You will collaborate with cross-functional teams to implement controlled document changes and support project scope, schedule, and cost. The position emphasizes process improvement, governance, and timely permitting activities within a dynamic, growth-focused firm. You will help drive project quality and client success through structured documentation practices and stakeholder coordination.

Responsibilities
  • Set up and maintain project filing systems and records databases
  • Manage confidential project information and document retention
  • Establish documentation policies to ensure quality control and compliance
  • Coordinate with cross-functional teams, vendors, and contractors on controlled documents
  • Plan and coordinate project schedule, scope, and cost in alignment with client goals
  • Value engineer the project to identify savings and substitutions
  • Communicate with project stakeholders and prepare project management plans
  • Monitor contract scope against goals and adjust as needed
  • Coordinate with cost management for cost estimates, cost studies, and budget reconciliation
  • Drive permitting processes with submissions to agencies and track progress
  • Ensure design management aligns with client budget, scope, and standards
  • Organize documentation processes and record-keeping (electronic and physical)
  • Prepare cost and revenue projections
  • Attend work during normal business hours
Key requirements
  • Experience setting up and maintaining a project filing system
  • Experience with record retention, protection, retrieval, transfer and disposal
  • Ability to manage confidential project information
  • Strong written and oral communication skills
  • Understanding of organizational goals and ability to contribute to them
