Office Staff - RR Contracting LLC Office Staff RR Contracting LLC Lebanon, Missouri Part-Time - On-Site Position Summary RR Contracting LLC is seeking a dependable, organized, and service-minded Part-Time Office Staff team member to provide administrative support to our Operations Manager and help keep information, documents, communications, project records, construction selections, and assigned follow-up moving accurately through the office. This position is well suited for someone who takes pride in organized work, communicates professionally, follows assignments through to completion, and can stay accurate while balancing phone calls, email, paperwork, data entry, project documentation, and changing priorities. The position is primarily office-based. Depending on current projects and company needs, the Office Staff member may also assist with construction selections and related documentation and coordination under the direction of the Operations Manager or appropriate project leadership. Calendar management and scheduling are not part of the current position scope. What You'll Do Office & Administrative Support Maintain organized digital and paper files so information can be located quickly. Prepare, scan, copy, print, organize, upload, and distribute assigned documents. Complete accurate data entry and routine recordkeeping. Prepare and update internal documents under the direction of the Operations Manager. Maintain an organized record of assigned tasks, open questions, and follow-up items. Answer the main phone, monitor assigned or shared email, and take complete and accurate messages. Greet visitors and provide professional front-office service. Communicate with clients, leads, vendors, subcontractors, employees, insurers, and other business contacts. Request routine status updates and missing information as directed. Document responses, commitments, outstanding items, and next steps. Route questions, concerns, and decisions to the appropriate person promptly. Follow up on assigned items and communicate early when information or competing priorities may affect completion. Project Documentation Support Organize and maintain project files and documentation. Collect, scan, upload, and file contracts, emails, meeting notes, signed documents, and other assigned project records. Track certificates of insurance, W-9s, and other required documentation and follow up on missing or expired records as directed. Assist with assembling and organizing project closeout documentation. Track missing documents and follow up with the appropriate parties. Format, enter, upload, file, or track information related to scopes of work, proposals, contracts, change orders, purchase orders, and project selections. Maintain clear document version and status information so outdated or incomplete documents are not mistaken for current records. Construction Selections Support Depending on current projects, this position may assist with construction selections and related administrative coordination. Organize construction selection information and supporting documents. Assist with tracking selections for materials, finishes, fixtures, products, or other project-related items. Gather or request routine product, vendor, and selection information as directed. Maintain accurate records of selection status, supporting documents, and outstanding information. Enter or update approved selection information in company systems. Communicate with vendors, subcontractors, project personnel, or other appropriate contacts to obtain routine information or status updates. Follow up on missing selection information and document responses and next steps. Assist with organizing product information, specifications, samples, supporting documents, and approved selections. Support the Operations Manager and project team with administrative coordination related to selections. The Office Staff member provides administrative and coordination support for selections and does not independently approve project scope, pricing, contracts, substitutions, project dates, or client commitments unless specifically authorized. Limited Financial & HR Administrative Support Organize receipts and supporting documentation. Enter or track invoice and billing information as assigned. Provide administrative support for pay applications or closeout billing. Prepare basic spreadsheets for approved tracking needs. Assist with authorized timesheet or payroll data entry. Maintain assigned employee and onboarding documentation in an organized and confidential manner. Willing to learn construction processes: Comfortable learning construction terminology, documents, materials, selections, and company systems. Required Qualifications High school diploma or equivalent. Professional verbal and written communication skills. Basic computer and email proficiency. Ability to create, edit, save, locate, and share common office documents. Basic word-processing and spreadsheet skills. Ability to perform accurate data entry and basic spreadsheet tracking. Ability to scan, name, save, upload, and retrieve PDF and image files. Ability to maintain organized records and handle confidential information appropriately. Demonstrated dependability, accuracy, organization, and follow-through. Ability to work on-site at RR Contracting LLC's office in Lebanon, Missouri. Willingness to work within assigned authority and ask questions when direction is unclear. Preferred Qualifications The following would be helpful but are not required : At least one year of office administration or customer-service experience. Experience in construction, a project-based business, service company, or another fast-moving office environment. Experience assisting with construction selections, materials, finishes, fixtures, purchasing, or project documentation. Experience handling project records, confidential documents, receipts, invoices, or employee paperwork. Experience with Microsoft Word, Excel, Outlook, or comparable office applications. Experience using shared files, project records, or document-management systems. Experience coordinating or following up with vendors and subcontractors. Valid driver's license and reliable transportation. Previous construction experience is preferred but not required. A candidate who is organized, dependable, comfortable with technology, and willing to learn construction terminology and processes may be successful in this position. Digital and paper records remain organized, current, and easy to locate. Messages and important information reach the correct person with the necessary context. Follow-up items are documented and continue moving until completed or properly handed off. Construction selection information is organized, accurately documented, and appropriately communicated. Missing project or selection information is identified and followed up on promptly. Clients, vendors, subcontractors, employees, insurers, leads, and visitors receive professional and respectful communication. Project and administrative records remain accurate and within established approval processes. The employee becomes increasingly independent with routine procedures after training while continuing to ask questions when exceptions arise.
