Executive Assistant Job Requirements
- At least 3 years of administrative experience; experience supporting senior executives, hospital leadership, or an executive office is preferred
- High school diploma or GED required; bachelor's degree preferred
- Advanced proficiency with Microsoft Office Suite, including Outlook, Word, Excel, and PowerPoint, along with collaboration tools
- Strong organizational and prioritization skills, with the ability to manage competing demands and deadlines
- Excellent written and verbal communication skills
- Sound judgment and the ability to handle sensitive and confidential information professionally
- Strong problem-solving skills and the ability to anticipate needs and take initiative
- Ability to manage multiple projects with accuracy and attention to detail
- Professional, adaptable, and customer-focused approach
- Ability to work independently while collaborating effectively with leaders, colleagues, visitors, and external contacts
Executive Assistant Responsibilities
- Provide high-level administrative and operational support to hospital senior leadership and executive-level operations
- Manage executive calendars, prioritize competing demands, resolve scheduling conflicts, and address urgent or confidential matters
- Serve as a primary liaison for assigned leaders by managing communications, screening inquiries, and coordinating timely follow-up
- Coordinate executive meetings, including agenda preparation, meeting materials, minutes, and action-item tracking
- Prepare, review, and distribute correspondence, presentations, reports, and other business documents
- Coordinate hospital administrative projects and initiatives by monitoring timelines, deliverables, and reporting requirements
- Plan and support meetings, events, and training sessions, including logistics, materials, and follow-up
- Maintain strict confidentiality while safeguarding sensitive executive, organizational, and personnel information
- Support departmental administrative operations, including resource coordination and approved budget-related purchases
- Greet and assist visitors and stakeholders while representing the executive office with professionalism and excellent customer service
- Collaborate with coworkers and other staff in alignment with organizational values and service standards
