Position Summary

Under the supervision of the Director of Human Resources Operations, the Human Resources Coordinator provides comprehensive Human Resources support in the areas of recruitment, onboarding, HR compliance, employee engagement, performance management, HRIS administration, leave administration, employee recognition, and records management. This position serves as a key operational partner to the Human Resources team and acts as a backup to the Human Resources Recruiter and Human Resources Generalist as needed.

Essential Duties And Responsibilities
  • Coordinate and oversee the background check and pre-employment screening process for all new hires, including tracking progress, communicating with vendors and employers as needed, and providing timely updates to hiring managers.
  • Manage and facilitate the full employee onboarding process, including scheduling orientation sessions, tracking onboarding requirements, disseminating new hire information, coordinating completion of employment documentation, and completing I-9 employment eligibility verifications.
  • Serve as a primary point of contact for new hires during their onboarding and introductory employment period, including conducting 90-day employee experience follow-ups.
  • Partner with managers to ensure timely completion of employee goals, probationary reviews, and performance evaluations.
  • Serve as a point of contact for employee questions regarding HR policies, benefits, onboarding, and employment-related matters.
  • Escalate complex issues to the appropriate Human Resources team member.
  • Prepare, maintain, and distribute various HR-related reports, including but not limited to new hire, onboarding, and uniform tracking reports.
  • Responsible for uniform orders for new hires and all staff as needed.
  • Assist with preparation and coordination of HR-related audits, surveys, accreditation reviews, and regulatory reporting requirements.
  • Coordinate employee training programs, compliance training assignments, and professional development initiatives as needed.
  • Monitor completion of mandatory training and follow up with managers and employees as needed.
  • Assist in maintaining the Human Resources Information System (HRIS), ensuring accurate employee data entry, and recordkeeping.
  • Assist with employee recognition programs, employee appreciation initiatives, wellness activities, and employee engagement events.
  • Support employee communications and HR-related organizational announcements.
  • Support Human Resources team with daily operations, administrative functions, employee support, and coordination of special projects and initiatives.
  • Serve as backup to the Human Resources Recruiter during absences, vacancies, or periods of high recruitment activity.
  • Co-Chair the Safety Committee and provide ongoing leadership and support to safety team members to ensure compliance with organizational safety standards, policies, and regulatory requirements.
  • Assist with job postings, applicant tracking, interview scheduling, candidate communications, reference checks, and recruitment reporting as needed.
  • Develop and maintain HR procedures, onboarding materials, checklists, and internal process documentation to improve operational efficiency.
  • Serve as the primary point of contact for badges and key cards (new/replacement).

Other duties may be assigned to meet business needs.

Qualifications

Requirements:

Training and Experience: Bachelor's degree in Human Resources, Business Administration, or related field preferred. Minimum of three years progressively responsible Human Resources experience supporting multiple HR functions, preferably in a healthcare, nonprofit, FQHC, or community clinic environment.

Knowledge of:

Knowledge of Human Resources principles and practices including recruitment, onboarding, employee relations, performance management, leave administration, HR compliance, recordkeeping requirements, employment laws, and HRIS systems. Knowledge of California employment law and healthcare industry HR practices preferred.

Ability to:

Ability to work with people of diverse cultural, educational, social and economic backgrounds. Must possess the ability to follow instructions and exercise good judgment. Maintain confidentiality in sensitive situations; listen to people with varying personal and workplace needs and maintain "boundaries" in all situations. Ability to thrive in a fast-paced dynamic work environment.

Working Conditions/Physical Requirements:

This is primarily an office position that requires only occasional bending, reaching, stooping, lifting and moving office materials weighing 25 pounds or less. The position requires daily use of a personal computer and requires entering, viewing, and revising text and graphics on the computer terminal and on paper.

Special Requirements:
